A week with Clara
Your software sends the reminder. Clara does the rest.
She reads the reply, logs the promise to pay, matches the payment when it lands and tells you what came in. Anything outside your rules, she asks once. After that, it’s a rule.

Asking you
Palmetto Shell wants to split $14,066 into two payments. There’s no rule for this yet.

What Clara does
Knows what hit the bank, and who still owes you.
Send her your A/R aging and your bank export, from whatever system you use. She matches every deposit and follows up on the rest.
- Follows up by email and phone, in English or Spanish, from 30 to 120 days past due.
- Matches every ACH, check and wire against your open invoices.
- Reports every Friday: who promised to pay, how much and when, and what’s stuck.
Illustrative example, with made-up businesses.
In your name
Your company’s name. Your customer’s language.
Your customers hear from you, not from an agency: your email, the phone, your WhatsApp Business with customers who opted in, or their vendor portal. She switches to Spanish when they do.
- You approve every message during the first week, before it goes out.
- Never threatens. No pressure tactics, no robocalls, no texts or WhatsApp without consent, no more than two contacts a week to the same customer.
- Never offers on her own discounts, payment plans or legal action. Those need your written OK.
- Hands off disputes and anything over 120 days, with the file ready for your attorney or agency.

Construction
Notice at 45 days. Lien at 90. Clara watches the clock.
For subcontractors and building suppliers, Clara follows up on pay apps, waivers and retainage with the GC, and flags every Florida deadline early enough for you or your NTO service to act.
- Day 30. She flags the Notice to Owner, due at day 45 from first delivery (F.S. 713.06).
- Day 75. She flags the claim of lien, due at day 90 from last delivery (F.S. 713.08).
- Never files. She doesn’t prepare or file notices or liens, and never threatens with one.
Example with made-up jobs. Not legal advice.
What it costs
Chasing receivables always costs something. Clara costs the least.
Per month, for a South Florida business with about 50 active customers.
- $5,850–8,800An AR specialist in Miami, with benefits and payroll taxes.
- ≈ $7,300An agency temp, who usually leaves after about 10 weeks.
- 10–25 %What a collection agency keeps, for customers you’ve already lost.
Clara is a flat monthly fee, a fraction of a salary. Never a percentage of what comes in, and month to month. We quote it on the call.

Questions
Before you hand over your receivables.
My accounting software already sends reminders. Why Clara?
It sends the email. Clara reads the reply, follows up by phone, gets a payment date, matches the payment when it lands and tells you what came in.
We’re hiring an AR specialist. Why Clara now?
Your past-due customers don’t wait for the new hire. Clara covers the job while you interview, and when your hire starts, every account comes with its history: what was promised, what came in and what’s stuck. Or Clara keeps the collections and your hire takes the rest.
My bookkeeper handles collections.
They keep the books, and Clara takes the chasing off their plate. They answer what she asks and get every payment already matched.
What do I need to do?
One hour on a video call to set the tone and your rules. We set up the rest, on what you already use: QuickBooks, Sage or a spreadsheet, your email and your phone. Nothing to install, nothing to migrate.
Is Clara a person?
Clara is AI. A specialist on our team sets her up, reviews her work and handles the phone calls. Messages go out in your company’s name and say they’re written by a supervised assistant. She never pretends to be a person, and your customer can always talk to one.
Does the money go through you?
No. Customers keep paying you the way they do today. Every message she sends is logged where you can see it.
How is the monthly fee set?
By how many of your customers owe you, not by how much they owe. Customers in a dispute we’ve handed off, and those who’ve paid, don’t count. It’s never a percentage of what comes in, and it’s month to month.
Where does my data go?
It’s used only for your account, with a user of her own in your accounting system. Clara reads and writes with third-party AI models. Your data is exportable anytime and deleted when you ask.
Send your aging. We’ll take it from there.
